Second European CubeSat Workshop

SPONSORSHIP FOR STUDENTS

Application for sponsorship is closed

Funding is available for students’ travel and accommodation expenses related to this workshop. Your request will be evaluated by a selection panel on the basis of your affiliation and your stated motivation to attend the workshop. The results of the selection panel will be communicated to you by 8 December 2008.

A maximum of three students from each participating CubeSat team will be sponsored by the ESA Education Office.

Eligibility

In order to be eligible to apply for sponsorship, the following criteria must be fulfilled:
  • the student must be aged between 18 and 28 at the time of the workshop
  • the student must hold the nationality of an ESA Member State or Cooperating State*
  • at the time of application, the student must be enrolled as a full-time undergraduate or PhD student in a University in an ESA Member State or Cooperating State, studying or researching a subject which is related to one or more of the workshop session topics
  • the student must complete the registration form and request sponsorship by 30 November 2008
  • priority will be given to students currently involved in the development of a CubeSat
Selected students will be asked to provide proof of their nationality and age (e.g. scan of passport / ID card) and proof of student status (e.g. university inscription card or letter from University administration) before sponsorship can be confirmed.

* The 17 ESA Member States are: Austria, Belgium, Denmark, Finland, France, Germany, Greece, Ireland, Italy, Luxembourg, the Netherlands, Norway, Portugal, Spain, Sweden, Switzerland, United Kingdom. Canada, Hungary, Poland, Romania and the Czech Republic participate in some ESA projects under cooperation agreements.

Travel

Sponsored students are responsible for making their own travel arrangements. They are expected to arrange economy travel from a departure point within the EU to Noordwijk, The Netherlands, arriving on Mon 19 January and departing on Thur 22 or Fri 23 January. It is possible to stay longer in The Netherlands, in which case the additional expenses are the responsibility of the student.

Expenses will be reimbursed either in cash at the Workshop or to the student’s bank account after the Workshop, on production of valid receipts.

The following travel expenses will be reimbursed:


  • Travel to the home airport or train station by public transport
  • Return flight between the home airport and Schiphol airport (economy fare – please use budget airlines when available)
  • Return train between the home train station and Leiden train station (economy fare)
  • Travel from Schiphol airport or Leiden train station to the hotel or ESTEC by public transport
  • Return travel from the home city to Noordwijk by private car*
* Travel by private car will be reimbursed at a rate of €0.40 per km, up to a maximum of €400. This rate is considered to include all related expenses (e.g. fuel, road tolls, taxes, insurances, parking, customs duties, etc..). You must have written approval to travel by private car before departure (see contact details below).

The following will not be reimbursed, except in exceptional circumstances:
  • Taxi fares
  • Hire cars
  • Individual fuel bills, road tolls, parking tickets
  • Meals or overnight accommodation during the journey
Hotel

Rooms will be reserved for sponsored students at a hotel in Noordwijk from Mon 19 - Fri 23 January. Twin and triple rooms are available. Students may indicate in the registration form who they wish to share a room with, otherwise room-mates of the same gender will be assigned by the organisers.

The hotel and breakfast costs will be paid directly by ESA. Additional private expenses such as telephone, internet, etc. are the responsibility of the individual. Bus transportation will be arranged between the hotel and ESTEC for each day of the workshop

Meals

Sponsored students will receive lunch tickets to the value of €6.00 per day for use in the ESTEC restaurant from Tue 20 – Thur 22 January.

On Tuesday evening, a buffet dinner will be provided for all Workshop participants. On Monday, Wednesday and Thursday, evening meals will be provided for sponsored students at the hotel in Noordwijk

Note

Please note that students are responsible for their own arrangements for passports, visas, travel insurance and medical insurance.
